Ask your own records. Get the source with it.
A new person asks how something is done here. The answer exists, in a document, in a ledger, in a decision from last year, in someone's head. Finding it takes three interruptions and half a day.

How do we handle a returned part?
A returned part goes back through inspection before it re-enters stock.

The situation
Organizations accumulate more written knowledge than any member can hold, and then answer questions by asking whoever seems most likely to know. That works until the organization is bigger than a room, at which point the knowledge exists but is unreachable, which is indistinguishable from not existing.
How this usually goes
Search finds documents when you already know the words used in them.
An assistant bolted on top answers confidently from a model's memory rather than from the organization's records.
The assistant sees everything, so it is either restricted to public documents or quietly becomes a permissions leak.
Nobody can tell whether an answer is current, because nothing says where it came from.
What happens here
Ask a question in plain language and get an answer from your own records, cited, scoped to what you are permitted to see, and improvable by the people who know.
1. The question is scoped before it is answered
Retrieval runs under the asker's identity and permissions, so what can be told matches what may be known. The scope is not a filter applied to results, it is the boundary the search runs inside.
2. The answer cites its sources
Every claim points at the record it came from, with enough locator to check it. An answer without a citation is treated as a draft rather than as information.
3. Freshness is visible
Where a source came from and when it was last true travel with it, so a confident answer built on a stale document can be recognized as one.
4. Ambiguity is surfaced, not averaged
When the records disagree, that disagreement is the answer, and it is a useful one. Producing a smooth summary that hides a live contradiction is the failure mode this is designed against.
Improving it is not an engineering task
The people who know how the work is done are rarely the people who maintain the system. So the assistant's understanding is authored as versioned content by the people with the knowledge, evaluated against real questions before it is adopted, and rolled out through the same reviewed path as anything else. What is trained on, and where it came from, is recorded.
